Metadata Sprint Guide
August 2020 Project: Type Ephemera
The goal is to prep material for digitization by ensuring all objects records include essential metadata for upload and work_ids.
Resources:
Type Ephemera List — you'll be assigned tabs here, and the Nebiolo tab is a good reference
You'll Need:
a collections safe area to work (clean surfaces with no food, drink or pets)
your laptop
measuring tape
pencil
acid free paper strips
extra bag & boards
Step 1: Prep Materials for Numbers
Put your ephemera in order according to the appropriate tab in the Type Ephemera List
Make sure the title of the object is in title field
Make sure the name of typeface is in the subject: typeface field, capitalizing the first letter (example: Bodoni)
If there are multiple typefaces represented separate with a semicolon ( ; )
(example: Garamond; Bodoni)In the measurements field, record the measurement height by width to the nearest (larger) centimeter. If an object is 26.2 x 18.9 cm, it will be recorded as 27 x 19 cm
Please complete the relation field with collection: Tholenaar Collection if your bag and board is bookplated (Leave this field blank if it has an orange sticker. These were originally part of Rob's collection.)
Step 2: Number Each Object
Notify Kate or April that you are ready for work_ids
We will assign work_ids for your tab
Please do not assign numbers yourself. We are managing non-sequential numbers across several tabs simultaneously and need to avoid doubling up.
Once your objects are assigned work_ids, please use your pencil to write the work_id on the label for your type ephemera
Once all objects have been labeled with their work_id, please notify @ mention Kate in the group slack channel.
She will arrange with you to have your project retrieved or for you to drop it off at AIC
If you have extra time between your pickup or drop off, please QC or fill-in the Nice to Have fields listed below.
Troubleshooting
If you have a description that does not match any of your type specimens, move it to the bottom of the spreadsheet and highlight the row pink.
If you have a specimen that does not match any of the descriptions, create a new line in the spreadsheet (putting it alphabetically in order with the other specimens).
If you come across an object that is double bagged (two objects in one bag), please put the second object in a new bag and board. Please note that the second object is often on the back of the bag and board not in the front as shown below.
Please use a strip of acid-free paper to create a flag label with the object's title, work_id, and collection (whether it is part of the Tholenaar or needs an orange sticker).
Make sure each object has its own line in the spreadsheet (so that they will have their own work_id)
